Job Purpose

The Facilities and Maintenance Manager is responsible for planning, coordinating, and managing the maintenance, repair, and efficient operation of the Company’s production equipment, buildings, utilities, and support infrastructure. The role ensures maximum equipment availability, minimal downtime, operational efficiency, workplace safety, and compliance with statutory and Company standards to support uninterrupted printing and packaging operations.

Key Responsibilities

1. Plant & Equipment Maintenance

  • Develop and implement preventive, predictive, and corrective maintenance programmes for all production equipment.
  • Ensure optimum performance and availability of printing, finishing, packaging, and auxiliary equipment.
  • Supervise maintenance activities for offset presses, digital presses, flexographic machines, cutting machines, laminators, die-cutting machines, folding machines, stitching machines, gluing machines, UV coating machines, compressors, generators, air conditioning systems, and other production equipment.
  • Minimize machine breakdowns through proactive maintenance planning.
  • Investigate recurring equipment failures and implement corrective actions.
  • Maintain machine service history and maintenance records.

Facilities Management

  • Oversee the maintenance of Company buildings, warehouses, offices, production facilities, and utilities.
  • Ensure all facilities remain safe, functional, and compliant with statutory requirements.
  • Coordinate repairs to plumbing, electrical systems, roofing, flooring, lighting, drainage, and structural works.
  • Supervise cleaning, sanitation, landscaping, and housekeeping services.
  • Ensure the proper operation of water supply systems, air compressors, HVAC systems, and power distribution systems.

3. Production Support

  • Work closely with Production Managers to ensure equipment availability for production schedules.
  • Ensure maintenance work is completed with minimal disruption to production.
  • Participate in production planning meetings to align maintenance schedules with operational requirements.
  • Support the installation, commissioning, and relocation of new production equipment.

4. Utilities Management

  • Manage Company utilities including:
    • Electricity
    • Water
    • Generators
    • Compressors
    • Air conditioning systems
    • UPS systems
    • Fire protection systems
  • Monitor utility consumption and implement energy-saving initiatives.
  • Ensure uninterrupted utility services across all facilities.

5. Preventive Maintenance

  • Develop annual preventive maintenance schedules.
  • Monitor compliance with maintenance plans.
  • Ensure routine inspections are conducted on all equipment.
  • Reduce emergency breakdowns through planned maintenance.
  • Track equipment reliability and maintenance KPIs.

6. Contractor & Vendor Management

  • Manage relationships with maintenance contractors and service providers.
  • Evaluate contractor performance.
  • Negotiate maintenance contracts and service agreements.
  • Ensure contractors comply with Company safety policies.
  • Verify quality of work before certification and payment.

7. Health, Safety & Environmental Compliance

  • Ensure maintenance activities comply with occupational health and safety requirements.
  • Conduct risk assessments before maintenance work.
  • Ensure lockout/tagout (LOTO) procedures are followed.
  • Ensure maintenance staff wear appropriate PPE.
  • Support compliance with:
    • ISO 45001:2018
    • ISO 14001:2015
    • Company QHSE policies
  • Participate in accident investigations involving machinery or facilities.

8. Asset Management

  • Maintain a comprehensive asset register.
  • Monitor equipment lifecycle and replacement schedules.
  • Recommend replacement or refurbishment of obsolete equipment.
  • Conduct periodic asset condition assessments.

9. Budget & Cost Control

  • Prepare the annual maintenance budget.
  • Control maintenance expenditure.
  • Monitor spare parts inventory.
  • Ensure cost-effective procurement of maintenance materials.
  • Identify opportunities for cost savings without compromising operational efficiency.

10. Spare Parts Management

  • Maintain adequate inventory levels for critical spare parts.
  • Develop reorder levels for maintenance materials.
  • Coordinate procurement of spare parts.
  • Ensure proper storage and inventory control.

11. Compliance & Documentation

  • Maintain maintenance manuals and equipment records.
  • Prepare monthly maintenance reports.
  • Maintain statutory inspection records.
  • Ensure equipment certifications remain current.
  • Develop and review maintenance SOPs.

12. Team Leadership

  • Supervise Maintenance Engineers, Technicians, Electricians, Mechanical Technicians, and Facilities Officers.
  • Allocate maintenance assignments.
  • Conduct performance evaluations.
  • Identify training needs.
  • Promote teamwork and continuous improvement.

Qualifications

  • Bachelor’s Degree in Mechanical Engineering, Electrical Engineering, Industrial Engineering, Facilities Management, Plant Engineering, or a related discipline.
  • A Master’s degree is an added advantage.
  • Professional membership with the Ghana Institution of Engineering (GhIE) or equivalent is desirable.

Experience

  • Minimum of 5–8 years’ experience in facilities and maintenance management within a printing, packaging, manufacturing, or industrial production environment.
  • Proven experience managing preventive and corrective maintenance programmes.
  • Experience maintaining offset, digital, packaging, and finishing equipment is highly desirable.
  • Experience working in an ISO-certified manufacturing environment is an added advantage.
